These days there are many email options for businesses of all sizes. The chart below helps provide a list of key considerations to run against the three main types of email solutions in the market – Cloud, Hosted and Dedicated.
Cloud based email
Recommended for small to mid size businesses.
Advantages: Corporate email functionality, Capital Investment Savings, No In-House Administration.
Cloud based email is when servers are located in the cloud and clients (devices such as computers, mobile devices, laptops, tablets etc) are connected to their email by a secure internet connection through a browser. The email client grants an organization the ability to “outsource” email to a third party over the public Internet to receive more benefits. Would be expenses, such as setup fees and power usage, are instead included in a small monthly fee. Examples of such are: Google Business Gmail service and Microsoft Office 365.
Recommended for mid size businesses.
Advantages: Custom domain (@yourbusinessname), Small Administration.
Hosted email is using a mail server in a third-party facility. Companies that do not wish to deal with the security, spam and other issues involved in hosting Exchange Servers can have it hosted by a third party. Examples of hosted exchange are: Microsoft Exchange Online, Ceryx and Radiant to name a few.
Recommended for mid to large size businesses.
Advantages: Complete control and customization, best security.
Dedicated Email allows you to customize all settings and policies. Mailbox size, message size limit, deleted items and deleted mailbox retention, infrastructure security, email filtering rules and backup are all examples of the customization options that Dedicated Email allows. Integration with server-side applications oen requires a dedicated email infrastructure. For example, Microsoft applications or Cisco Unity require a very deep level of system access that can only be attained with Dedicated Exchange. If you need to customize your disaster recovery point objective (RPO, or the amount of data you can “afford” to lose) and recovery time objective (how long you can experience downtime) – then dedicated Exchange is the most fitting. Examples of dedicated email are: Rackspace and Cogeco Peer 1 to name a few.
This chart presupposes that a small business would only invest in cloud or hosted, where as a mid-size business may invest in any of the three and an enterprise would invest in hosted or dedicated. Listed are the considerations for each business size for each column. Blank columns are non-applicable to that service.
